(i) Find in a document

Is there a way to be explicit when searching for terms for the index? Specifically, I need to find

ATS

but when I enter that it also finds screens and screens of

at

which is a pain.

(ii) Styling

(a) Client wants to omit the initial capital (A, B, C etc) but wants a line space between each section. I can style the initial to be the right size and make it white, but it leaves a line space at the top, before the A section. I can remove it manually at the end, if I remember! Is there an alternative?

(b) Client wants sub-topics to appear thus

Sub1, 1, 3, 5-7; Sub2, 4, 6, 8-10

but APub styles them

Sub1, 1, 3, 5-7
Sub2, 4, 6, 8-10

Is there a styling technique that achieves the first layout?

(iii) Notes

Client wants to exclude notes from the index. Can that be achieved automatically or do I have to manually avoid ticking page number above that of the first Notes page? Does Sections provide an answer?

Find in Document: There are no controls for this feature, you'll have to use the Find and Replace panel

Initial capitals: If by this you mean the Section Headings, just deselect Include Section Headings in the panel.

Group sub-topics on same line: No, it won't do that automatically, you'd have to format it manually after generating the index. You could probably use a GREP search to do this but I'd have to think about how to do that since you'd only want to find paragraph breaks formatted as Index Entry 2 that are followed by an alpha character formatted as Index Entry 2, and not as Index Entry 1.

Notes: If a note has an index mark it will be included in the index. If you're using Find in Document, ensure you're not finding instances in notes. To avoid this, use Find and Replace instead of Find in Document because then you can specify which text style you'll searching for.

Thank you MikeTO - again, for your help.

Find in Document: I had not caught up with the fact that I can search in the F&R then add Markers. Is there a shortcut to add a marker? I can't find one. Or is it a case of having both Index and F&R Panels (tabs) on screen, clicking the line in F&R then adding the Marker in Index?

Initial capitals: Yes, Section Headings. If I untick them then there is no line space, which I gather is needed. And I don't know how to style a Section Head to leave a space without there is a Section Head to style.

Group sub-topics on one line: I expected that. And I am not going to do that manually - not because I don't want the work of doing it, but because I don't want the work each time I forget and click the update button!

Using F&R I can limit the search to exclude the notes by Sections. I have the book's body in a different section to the end matter - which for this document is easier than selecting by style. But thanks, that may be in a future document.

This book is doing my head in. I won't offer next time! I'm going to enjoy getting back to the much simpler monthly newsletter and the occasional other promotional document.

I didn't mean to imply that you could search for index markers with Find and Replace - you can by cutting and pasting one into the Find field but that will find only that specific marker, not all index markers. But if you need to index Apples, you can search for Apples just as easily with Find and Replace as with the Index panel's Find in Document feature.

I don't add index markers with the panel. Most of us use a keyboard shortcut for speed. I've changed the shortcut from the default which requires some keyboard gymnastics to Cmd+Shift+I (Ctrl+Shift+I on Windows) but you can use whatever you want. This works well when you're finding words with Find and Replace.

There is no way to do that. Your best bet would be to leave section headings on and edit the Index Section Heading style and change the font colour's opacity to transparent. To change the spacing, change the style's font size, leading, space before, or space after as required.

Mike, really useful guidance. I have done a stack of work with the client and it was so much easier using F&R and the shortcut. Thank you.

Oh, and they've decided they do like the capitals A, B, C etc in the index so that problem has gone away.
