Missing Embedded pdfs When Sharing AF Publisher 2 Artwork

I create on a MacBook in AF2 Publisher a monthly newsletter of 40+ pages, containing embedded pdfs, embedded jpgs and text boxes. The artwork is then shared via Google Drive to a colleague (with AF2 Publisher on Windows) for extra editing work.
 
Each time a number of the recently added pdfs appear on my colleague's AF as blank spaces, even though they have been embedded at my end and pdf version differences identified by Preflight have been 'fixed'.
 
Does anyone know the cause of this and a remedy? Our AF2 versions are up to date and the only differences are the Mac and the PC.

Hi @Lancerand Welcome to the Forums,

If your colleague checks the Resource Manager, do any of the PDFs show as missing?  If they move the afpub file from Google drive to there Desktop or Documents folder, does it then open correctly?

Could you upload the .afpub file to our private Dropbox here and also let me know some of the problem pages for your colleague and i can see how they load for me.

Which pages are the problem pages for your colleague?  

Also, not all of the PDFs used are embedded.  I get a warning when opening the file that some linked resources are missing and from checking the Resource Manager, there are 7 missing linked PDFs.

Very interesting - and this is precisely the issue that my colleague has found. On the file that I sent you, my Resource Manager still shows everything as embedded. My colleague's pages that had the problem with this file (and previous AF Publisher 2 files over several months) were:  7, 13, 15, 21, 22, 35, 40. Some of the missing pdfs were created by the advertisers and others probably by me over the past month. 

It seems that the transfer of files to another user changes the status of some items. We now know this and make sure that we compensate for it, but clearly it ought not to be happening.

Hi @Lancer,

If I open your file and go click File>Document Setup, on the Document tab the Image Placement policy is set to Prefer Linked and not Embedded.  So it does look like that's been changed at some point, meaning any further added PDFs would be linked.

Can't say I've seen that get changed without a user doing so and it hasn't happened for me when working between devices, but I'll keep an eye out for it popping up and get something logged once we've got a recipe to replicate the issue :)

That's odd. When creating the original document and its Master, embedded images were selected when setting up the margins etc etc. I now see that on my copy of the newsletter,  Document Setup also was set to Prefer Linked, although I always ensured that Resource Manager had everything Embedded so presumably this should take precedence.

The original newsletter document from several months ago was subsequently Saved As each month and edited for the next issue. Might this action have changed settings in the background? This is a huge time-saver as most adverts are continued in each issue. Could Save As be an issue?
